If you host with us...
How to administer your Black and White list using your Spam Folder.
1) Go to the main page of your web site. Click on Check E-mail. (Let us know if you have problems locating
this.)
2) The login screen for the Web E-Mail will open up.
3) Enter in your full E-Mail address and your password. If you are having problems with your password, please contact our office.
4) Your E-Mail account will open revealing any messages you may have in your Inbox and Spam folder. Here it shows there are two messages in the Spam Folder: 2 message of which 2 are new. Click on the word Spam.
5) The messages that the system detected as spam will be listed here.
6) Click on the Subject of an E-Mail listed here. It will open up the E-Mail in the bottom part of the window. In this case, I'm handling the E-Mail on the top first. Let's say we do not want this E-Mail to ever come through again. Either click on the Orange Arrow next to the From E-Mail Address or the Subject line. This will cause either a) any future E-Mails coming from that exact E-Mail address will never even get to your spam folder, or b) any future E-Mails being sent with that exact Subject line will never even get to your spam folder. Being that I do not want this E-Mail, we are clicking the Orange Arrow next to the From address.
7) At the bottom of the next page, you will see it has put in Action: Reject and the String: From: we want to block. If this is correct, click Add.
8) Now you will see that E-Mail address in the list, having a Red Arrow, and the details of this are still showing where it says Action and String. If you made a mistake, you can change any of the parts right from here and click Add again.
9) Click on Get Messages in the upper left hand corner to get back to the main page.
10) The Spam Folder still shows 2 messages of which 1 is new. Click on the word Spam again.
11) The message we rejected is still listed here. Now we need to delete it.
12) Click the Check Box next to the message.
13) Click on Delete Selected towards the middle of the screen on the right hand side.
14) Now the last message remains in the Spam Folder. Click on the Subject.
15) In this case, let's say we do want this E-Mail to never get marked as spam again. Either click on the Green Check Mark next to the From E-Mail Address or the Subject line. This will cause either a) any future E-Mails coming from that exact E-Mail address will always get to your Inbox, or b) any future E-Mails being sent with that exact Subject line will always get sent to your Inbox. Since we want this E-Mail, we are clicking the Green Check Mark next to the From address.
16) At the bottom of the next page, you will see it has put in Action: Accept and the String: From: we want to accept. If this is correct, click Add.
17) Now you will see that E-Mail address in the list, having a Green Check Mark, and the details of this are still showing where it says Action and String. If you made a mistake, you can change any of the parts right from here and click Add again.
18) Click on Get Messages in the upper left hand corner to get back to the main page.
| 19) The Spam Folder still shows 1 message.
That is the one we just accepted.
Click on the word Spam again.
20) Being that we do want this message, we want to move it to the Inbox.
21) Click the Check Box next to the message.
22) In the middle of the screen it says Move Selected messages to Spam. Click on the Down Arrow where it says Spam and change that to Inbox. Click OK.
23) Now you will see no messages in the Spam Folder and 1 message in the Inbox. Click on the word Inbox.
24) The message is now in the Inbox. If you reply to the message, you can delete the word [Spam] from the message subject. If you normally check your E-Mail through another program (Example: Microsoft Outlook), this message will go to that program the next time you download your E-Mail.
Any E-Mails which
remain in your Spam Folder automatically get deleted after 7 days. It
is good practice to check your E-Mail this way at least once a day to
make sure that you are not missing valid messages from people. |
